Clockwork 9 LLC is a video, photo and animation production company in Cleveland, Ohio. This policy explains what information we collect through clockwork9.com, through our client work, and through the internal software we use to run the business, and what we do with it.
Information we collect
When you contact us. If you fill out a form, email us or book a call, we receive what you send: your name, company, email, phone number and the details of your project.
When we work together. To produce and bill a project we keep contact and billing details for the people we work with, project materials you share with us, and records of invoices and payments.
When you visit the site. Like most websites, clockwork9.com and its hosting provider record basic technical information such as IP address, browser type, device and pages visited.
Cookies and third-party services on our site
clockwork9.com uses a few services from other companies. Some of them set cookies or collect technical information from your browser (such as your IP address and what you click) when you load a page.
Analytics. We use Google Analytics 4 and Google Tag Manager to see how visitors use the site, such as which pages are popular and where visitors come from. This data is used in aggregate to improve the site. Learn more in Google’s Privacy Policy, and opt out with the Google Analytics opt-out browser add-on.
Video. Our work samples are hosted on Vimeo and embedded on the site. When a Vimeo video loads, Vimeo may set cookies and collect viewing information. See the Vimeo Privacy Policy.
Spam protection. Our contact form uses Google reCAPTCHA to tell people from bots. It reads information such as your IP address and browser behavior, and is subject to Google’s Privacy Policy and Terms.
Fonts and code libraries. The site loads fonts from Adobe Fonts and Google Fonts and some code from Cloudflare’s CDN, which means those providers receive your IP address when a page loads.
Your control. You can block or delete cookies in your browser settings. The site still works, though some features, such as embedded video, may not. We do not currently show a cookie banner.
Our internal business software
We use an internal application, C9 Sentinel, to manage our own bookkeeping, invoicing, project tracking and follow-ups. It connects only to Clockwork 9’s own accounts, including our QuickBooks Online company, our project management system and our Google Workspace.
Data it reads from QuickBooks Online, such as invoices, bills, payments, customers and vendors, is used only to run Clockwork 9’s business. It is not sold, rented or shared with anyone outside Clockwork 9 and its bookkeeper and accountants. Access credentials are stored encrypted on Clockwork 9’s own computer, and access is limited to Clockwork 9 personnel. We can disconnect the application from QuickBooks Online at any time, and doing so stops all further access.
How we use information
We use the information above to respond to inquiries, plan and deliver projects, send and collect invoices, pay vendors and freelancers, keep accurate books, meet our legal and tax obligations, and understand and improve our website. We do not use your information for automated decision-making or profiling, and we do not sell it.
Who we share it with
We do not sell personal information. We share it only with service providers that help us operate, such as our accounting, payment, email, file-sharing, project-management and web-hosting providers, with our bookkeeper and accountants, and when the law requires it.
How long we keep it
We keep project and financial records for as long as we need them to serve clients and as long as tax and accounting rules require. We delete or anonymize information we no longer need.
Security
We use reasonable administrative and technical safeguards, including access controls and encrypted storage of credentials. No method of transmission or storage is completely secure.
Where we operate
Clockwork 9 is based in the United States and serves clients in the United States. We do not market to or target people in the European Union or United Kingdom. If you contact us from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.
Your choices
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. You can opt out of any marketing email we send by replying or using its unsubscribe link.
Children
Our services are for businesses and are not directed to children under 13.
Changes
We may update this policy. The date at the top shows when it last changed.
